Table rotation dinner: mix your guests every course in one venue

A table rotation dinner keeps everyone in the same room, but shuffles the seating every course: new table, new faces. It takes the best part of a running dinner – meeting new people over food – and fits it into a single venue: a clubhouse, function room or village hall. No addresses, no walking routes, just numbered tables and a clever seating plan.

Why rotate tables at all?

At a classic sit-down dinner, you speak to the two people next to you and nobody else. At a club dinner or gala that is a wasted opportunity: the whole point of the evening is that members mix. With a rotation over three courses, each guest sits with two entirely new groups – at a 60-person dinner you genuinely talk to a dozen people instead of two.

It works brilliantly for:

How it works in practice

1. Number your tables. The table size follows from your room and group: 6 to 8 per table works best.
2. Make a seating plan per course. Starter, main and dessert each get their own layout, designed so that nobody shares a table with the same person twice.
3. Show guests their route. Each guest gets a personal card: "Starter – table 3, Main – table 7, Dessert – table 2".
4. Rotate between courses. While plates are cleared, everyone finds their next table. Two minutes of pleasant chaos, then fresh conversations.

The catch: the seating maths

Here is the hard part. With 60 guests over three courses, a hand-made rotation plan almost always produces repeat encounters – and checking it manually means comparing hundreds of pairings. It is exactly the same puzzle as a safari supper route plan, just without the streets.

Our planner has a dedicated venue mode for this: enter your guests, choose the number of tables (or let it decide), and it generates the full rotation in one click – maximising new encounters, respecting couples who want to stay together, and printing a personal route card per guest. A sailing club recently used it for their 60-cover annual dinner: three courses, full rotation, quiz at the end. Their comment: the seating plan that used to take a committee evening now takes a minute.
